Whenever I fax or mail a bid recently, I have been including a letter.
I start out with my inspection notes... What I noticed about the carpet and the condition as is. Then I point out a few things I think they need to know, basically a short lesson on spot cleaning or apparent soiling or whatever I think is relevant. Then I price them two options, let them know which one is my recommendation and why. I usually end by letting them know I am not the cheapest but I will solve their problem, thank them, sign the letter and fax or mail it off with the bid.
Every time I've done that they have booked the job and gone with my recommendation. Dumb luck maybe?
