Have you talked with the folks at
SM and told them what you are trying to do? They should be the ones to tell you if their program can handle this or not and share with you how others do it....even if they don't share who.
If you aren't already, ask them to add you to the SMUG (
Service Monster User Group) Facebook page. This would be an excellent resource for you to ask a question like this. The group is nothing put people using
SM and they are a great resource and help.
That being said, you can add custom disclaimers that show up on every invoice. Using SM5, click the company tab. Then on the left side you will see menu. Expand the "print settings" link and then you will see options for various disclaimers. (Billing Disclaimer or Order Disclaimer). You can create various disclaimers for different things and have them populate to the work order.
Here is one we created for wicking:
You can add photos to each invoice/work order for the rugs you are cleaning. Click on the images tab at the top of the work order, then select the image you want to add to that work order from your device (they need to be saved on the device, you cannot take a photo while in this area and add it. It has to be uploaded from the device/computer you are using)
Chose images:
Upload and you have a thumbnail of the image that you can open.
If you have specific information that would not be general or a disclaimer, then add that to the work order at the bottom in the notes section:
Then save it.
The only issue with working in this version of
SM, is that you cannot capture a signature. You can get them to sign off right on the work order in the Mobile versions (this is not the app, but a different version). I find the mobile version not easy to use in the office/Filed. Myself and the guys prefer using the full version on our computers. But once you create everything in this version, you can then launch the mobile version to capture the signature. It will then show up in which ever version you use.
Same work order, but in mobile version, notes and all:
Click on the sign tab.
It will pull up a PDF of the work order they can read and the client can sign using their finger if your device is a touch screen or with mouse if on a laptop.
Click the start signing tab and scroll to the bottom of the PDF. And sign, then save.
Go back the the regular version of
SM and back to that work order. There is a signature tab at the top. Click on that, and there will be a link to the PDF with the signature.
Clicked on signatures:
Click on the blue hyper link under the subject and it opens up the PDF with the signature.
It's all saved in
SM, so you can pull it at anytime....the signed WO/invoice, the photos associated with that invoice.
